Not at all. We specifically work with non-technical business owners. Part of our job is choosing tools that are genuinely easy to use and explaining them in plain language. You don't need to know how AI works under the hood — you just need to know how to use it in your business, and we'll make sure you do.
ChatGPT is one of many tools — and yes, it's often part of what we recommend. But using ChatGPT well for a business is very different from just typing questions into it. We build custom prompt systems, connect AI tools to your existing workflows, and help you get consistent, useful results rather than hit-or-miss outputs. There are also many specialized tools beyond ChatGPT that do specific jobs far better — scheduling, customer follow-up, document processing, and more.
It depends on your business and workflow. We're tool-agnostic — we don't get paid by any software company. Common tools we work with include ChatGPT, Claude, Notion AI, Zapier, Make (Integromat), Fireflies.ai (meeting notes), Tidio (customer chat), GHL (marketing automation), and various industry-specific tools. The short answer: we use whatever actually works for your situation, not whatever's currently getting the most press.
The AI Audit takes about 5–7 business days from our first call. A full Implementation project runs 3–6 weeks depending on scope. We don't drag things out — we know you're running a business and don't have time for a 6-month consulting engagement. Most of our clients see working AI systems within a month.
Honestly? It depends. AI isn't magic, and there are some businesses where the ROI genuinely isn't there yet — and we'll tell you that upfront rather than take your money. In our experience, most small businesses have at least 3–5 hours per week of tasks that AI can handle reliably. If yours doesn't, we'll say so in the Audit. Industries we've seen strong results in: food service, real estate, wellness, retail, professional services (law, accounting), and home services.
The Audit fee is credited toward the Implementation project. So you're not paying for both separately — the Audit is essentially the discovery phase of the larger project.
Change management is part of our process. Yes, AI changes workflows — usually by removing the annoying repetitive parts. We run training sessions for your team, explain the "why" behind each tool, and make sure everyone feels capable (not threatened). The goal is for AI to take the tedious tasks off people's plates so they can focus on the parts of their job that actually require a human.
Most AI tools cost $20–$150/month depending on what you need. We'll be explicit about tool costs in the Audit report so there are no surprises. Our goal is always to find the most cost-effective setup that actually works. Many clients recoup their tool costs within the first month through time savings alone.
Usually yes. We look at what you're already using — your POS system, your CRM, your email tools, your scheduling software — and try to integrate AI into that existing stack rather than replace everything. Sometimes a full switch makes sense; more often it doesn't. We'll always tell you if something you have doesn't integrate well before you're committed.
Our focus is the Hudson Valley — it's where we live and where our community is. That said, we do occasional remote-only projects for businesses elsewhere. But if you're local, you get the added benefit of in-person meetings, which genuinely makes the work better. If you're outside the area, reach out and we can see if it makes sense.
